Witley Surgery Privacy Update: Introduction of Medicus Electronic Records

Dear Patient,

We are writing to let you know that, following a full Data Privacy Impact Assessment, Witley Surgery will be moving to a new cloud-based clinical system called Medicus on 30 June 2025. Medicus will replace our current EMIS Web system for all appointments, consultations, prescriptions and communications.

Key points about your data

  • What we process and why
    • Your personal and health information (e.g. name, date of birth, NHS number, medical history, test results, medications) will be collected and stored in Medicus to support your care.
    • We process this data to provide safe, accurate and timely clinical services—just as before—but now in a single, fully integrated platform.
  • Where and how it’s stored
    • All your records reside on secure UK-hosted servers managed by Medicus Health Limited, which is certified to ISO 27001 standards.
    • Data is encrypted in transit and at rest, and access is strictly controlled by role-based permissions.

Your rights
Under UK GDPR you have the right to:

  1. Access the personal data we hold about you.
  2. Rectify any inaccuracies.
  3. Request erasure of data where lawful.
  4. Restrict or object to processing on certain grounds.
  5. Data portability—obtain and reuse your data elsewhere.
  6. Complain to the Information Commissioner’s Office if you believe your data has been misused.

What happens next?

  • From 30 June 2025, all new consultations, prescriptions and communications will be recorded in Medicus.
  • You may notice us using new invitation or reminder messages via Medicus.
  • For a short period, our old EMIS Web system will remain available in read-only mode as a safety net.
